COMPANY MEMORY

The rules sit in a few people’s heads, where no AI tool can see them

We write the company’s rules down as skills, connect its data through MCP and keep its history as sourced records. Agents then work the way the company already works.

The answers live with a few people

New staff, an AI tool and every routine question depend on two or three experienced people, systems searched by hand, and years of email that never became records.

New staff learn by asking around, each system is opened and searched by hand, and an AI tool knows nothing about the company.

Rules, data and history, written down

A new approval rule is written as a skill and checked against recent quotes; a person reviews the skill before any agent follows it. Illustrative workflow on sample data.

Every agent follows the same skills and reaches each system with the permissions a person would have. When no rule or record applies, the agent asks a person instead of inventing an answer.

Every fact with its source

Company memory: a supplier record built from about 400,000 emails, with the last quote, contact, payment terms and complaints, each fact linked to its source email.

Years of email become records that staff search and agents recall. Each fact links to the email it came from, and the originals are never changed.

Running today: the full system has been staged on an archive of about 400,000 emails and is paused before production. Intake and the supplier directory run in production in a travel agency’s ERP.
